r/CRM has produced 18 Reddit threads that scored 7 or higher on BID's AI opportunity model, 11 of them scoring 8 or above. The highest-upvoted thread, "Best and inexpensive CRM for small businesses," pulled 73 upvotes from people describing the same unmet need. 2 of those threads have already been turned into full validated idea reports below, each with keyword demand and a feasibility score. r/CRM skews toward people describing daily workflow friction rather than pitching startups, which is exactly the kind of unfiltered complaint BID's scanner is built to catch.

“I work with two small businesses: home remodeling and screen installation. They are two separate companies but share the same owner. We currently use JobTread and HubSpot. JobTread is great for tracking our jobs and vendors. There’s no question that we’ll continue using JT. As for HubSpot, I honestly don’t have many complaints. It works perfectly for our marketing emails. We receive calls through Dialpad, which is integrated and helps us track calls. It’s also very useful for email tracking, since it notifies us when a customer or lead opens an email and how many times. We also have JT integrated and route new leads into HubSpot. On top of that, our website forms are connected to HubSpot, which helps us track new leads. My favorite feature is the dashboard and reports you can create to monitor KPIs and leads. That said, HubSpot is becoming too expensive. I’m now looking for a CRM that can offer similar benefits to HubSpot but at a lower cost. Edit: Appreciate all the suggestions he”

“Hey folks, I run a small/medium construction business and I’m trying to find a CRM that actually fits how we work. I have tried zoho, salesforce, they are like too complex and difficult for customization. I’m mainly looking for something that can handle: * Leads/enquiries * Project updates & progress tracking * Site visit scheduling * Quotations & follow-ups * Vendor/sub-contractor management * Payments tracking * File sharing (drawings, BOQs, contracts) * WhatsApp/email updates to clients * A mobile app so my site team can use it easily If you’re in construction/contracting and using a CRM you actually like, please let me know what it is and how it’s been working for you. Even if it’s a new startup tool, I’m open to checking it out. Thanks!”

“Hi everyone, I recently stepped into a brand-new role at my company, and right now **everything is still done on paper** — work orders, POs, customer notes, you name it. My goal is to help bring us into the modern age with a **comprehensive system that combines CRM and field service tools** so we can centralize information, streamline operations, and stop relying on individual folders or people to hold critical details. Here’s what I’m hoping to find in a solution: * **QuickBooks integration** * **Digital work orders and POs** (no more paper!) * **Centralized customer information** accessible to the whole team * **Robust field service scheduling and dispatching features** * **Bonus:** A **project management or new construction tracking component** I’ve already spoken with Salesforce because I used it daily in a previous role, so I’m familiar with its CRM capabilities and like the way it handles tracking quotes and jobs. That said, I’m not sure it’s the best fit for what we need — a”

“Hi everyone, I’m looking for advice on choosing a CRM system for a small business. We sell air purifiers and replacement filters, and we need a better way to manage and re-engage our existing customers. Right now we’re using Google Sheets, but it’s become unmanageable. We can’t easily: •see when a customer last ordered, •view what product(s) they have, •or log team notes and follow-ups. Ideally we’re looking for a CRM that allows for:: 😀 Full customer overview: purchase history, product owned, and last contact date. 😃 Notes & activity tracking: ability for my team to log updates after interactions. 😄 Reactivation & reminders: automation or alerts to remind customers (or us) when it’s time for filter replacements. 😁 Basic communication integration: ideally with WhatsApp or email for automated reminders or simple outreach. 😆 Ticketing / request capture — a way to log customer requests or complaints in one place. We’re not a call center or sales-heavy operation, we a smal”

“If you are using a spreadsheet to track clients, leads, follow-ups, notes, or opportunities, I’d love to talk to you. Most CRMs feel way too complicated for solopreneurs and early-stage teams. They ask you to set up pipelines, fields, views, automations, dashboards, and workflows before you get much value. But the actual job is usually simpler: * Remember who you talked to. * Know what happened. * Know who needs a follow-up. * Find the right context when you need it. We’re building Finder, an AI-powered CRM for people who want the usefulness of a CRM without turning it into another project. The goal is to make it easier to manage customer relationships as they actually happen, through contacts, companies, notes, follow-ups, and plain-language search. For example, you should be able to ask: * “Who do I need to follow up with this week?” * “Which clients mentioned pricing?” * “Show me everyone I spoke with last month.” * “Find companies interested in a proposal.”

“So I work for a two small business; house remodeling and screens installment. They are two separate business but same owner. We already work with Job Tread and Hubspot. Job Tred is excellent for keeping track of our jobs and vendors. Withhout doubt we will keep working with JT. Now Hubspot, I have no buts with this. It's perfect for our marketing emails. We receive calls through Dialpad and we have it as an integration which helps us keep track of the calls. It's also helpful with email tracking, it alerts us when a customer/lead has opened an email and how many times. We also have JT as an integration and also receive our new leads to Hubspot. Lastly we also have our websites forms in hubspot which also help keep track of new leads. My favorite thing is the daahboard and reports tou can create to keep tracks of KPI's and Leads. However, Hubspot is too expensive. So I am in the hunt for a CRM that can give us the same benefits as Hubspot for a cheaper price. ”

“I run a small 5-person B2B marketing team, and everything right now lives in spreadsheets and random email threads. It’s getting out of hand. Leads slip through. Follow-ups get missed. Reporting turns into this whole separate task I keep putting off because it’s such a pain. Most days feel like I’m just reacting to problems instead of actually moving things forward, which is not where I want to be. I’m looking for a CRM that actually fits a small service team. Something simple, quick to use, and not overloaded with features we’ll never touch. I just need a clear way to track clients, deals, and follow-ups without making things more complicated. Mobile matters too since we’re often on calls or out with clients. If you’ve been in a similar setup and found something that genuinely helped, I’d love to hear what worked (and what didn’t).”

“Hi, I work for my dad's small furniture manufacturing business. Right now we have just 2 employees, myself and my dad, plus two contractors. We've been making $50k-$80k revenue a month since December 2025. We are about to launch a brand new, much improved website and we're anticipating (possibly many) more clients, so I thought it was time to look into getting a CRM. At first I tried learning all about HubSpot, but that seems a bit advanced for where we are right now and it looks like the cost of that could balloon pretty quickly as we grow. Now I'm looking at Pipedrive, but I'm frustrated that you have to do manual imports, unless you use Zapier or something like that to automatically import contacts. Is there a better solution, or do you think Pipedrive is our best bet for right now? I was also looking at Bigin / Zoho. Right now we use Cal/com for scheduling meetings, MailChimp for email newsletters, and Tawk for the live chat on our website. So a CRM that works well with these pl”

“I run a mid-sized HVAC and facility services outfit, nothing massive, but we support several commercial clients with heating systems, inspections, and maintenance contracts. I’ve been digging into CRMs and field service tools that actually get our work, something that handles client contacts, scheduling, equipment history, maintenance contracts, billing, all without feeling like a jumbled mess. I stumbled onto [FIELDBOSS](https://www.fieldboss.com/) recently. It’s built right inside Microsoft Dynamics 365 but focuses on HVAC and elevator trades specifically. What really grabbed me was how cleanly it handles maintenance scheduling, mobile field access, and keeps everything, from quoting and dispatch to invoicing and reporting, connected and visible. It’s way more intuitive out in the field than anything we’d tried before. What are you folks using? What works (or doesn't) in your setup?”

“Hey everyone, I'm currently running a small HVAC business and have been using QuickBooks Online for a couple of years now. However, as we've grown, I've realized that I need a more comprehensive solution to manage our operations effectively. I've come across [www.fieldboss.com](https://www.fieldboss.com/), which seems tailored for HVAC companies. It offers features like job scheduling, equipment tracking, service contracts, and invoicing, all integrated into one platform. The mobile app also allows technicians to update job details on-site, which could streamline our workflow. Before making any decisions, I wanted to reach out to this community to see if anyone has experience with this software or can recommend other CRM tools that are well-suited for HVAC businesses.”

“Hey everyone! Running a small business with a tiny team (2–10 people), I'm struggling with traditional CRMs. I've tried some popular solutions and even a few AI-driven tools, but they all feel too complicated, expensive, or hard to set up. We don't need lots of fancy features - just something straightforward to manage customer interactions, set reminders, and keep track of our leads without drowning in complexity. Have you faced similar issues? Did anyone here find a simple alternative to typical CRM systems? I'd love to hear what you’re using! Thanks!.”

“hi everyone, we’re a small business (4-person team) handling around 20–30 active clients at a time. we’ve been using a basic crm setup for a while,it tracks deals and stores emails fine, but it keeps missing the *conversation* behind those interactions. before every follow-up, we find ourselves scrolling through old email threads trying to remember: * what the client was deciding, * who on our team promised what, * and what the next step was supposed to be. the crm logs everything, but it doesn’t really *remember* anything. there’s no quick way to see “what happened last time” or get a feel for the tone or priorities of the conversation. we’re starting to outgrow this setup and are considering switching to something that’s built for small teams but can actually help us **keep context without drowning in manual notes**. has anyone found a crm that handles this well? or maybe a workflow setup that surfaces the last few key points before you follow up with a client? would lov”

“I have been running sales for a small B2B operation for a few years, and before that I spent about a decade in roles where a CRM was the center of gravity for my work. I have used Salesforce, Hubspot, Pipedrive, Close, and a couple of smaller ones in between. This post is not a tool review. It is an argument about why CRMs keep failing the people who buy them, and how I ended up restructuring my own sales workflow to address the root problem rather than trying to solve it with better UX or more automation. The premise is simple. The failure mode of almost every CRM deployment I have ever seen is that the data inside the system diverges from the reality of the business over time. Notes do not get logged. Stages do not get updated. Calls happen and never get written down. The CRM becomes a polished but inaccurate representation of what is happening, and because the leadership team is looking at the dashboard rather than the reality, decisions get made on data that is always a few weeks ”

“Hey everyone what CRMs do you recommend for small businesses that are **actually affordable** and still useful? Oracle and Microsoft Dynamics are too expensive, and HubSpot is starting to get pricey too. I’ve been looking at: **Attio, Zoho CRM, Monday CRM, Pipedrive**. Also curious about **lead/marketing tools** people use for email & lead qualification before passing into the main CRM — like **Mailshake, Iterable, Prospi, Mailchimp**. What combos do you use that work well **without blowing the budget**?”

“So we’ve finally started the process of moving all our client data out of these massive, glitchy Excel sheets and into Dynamics 365. I thought the hard part would be the license costs or the setup, but honestly, it’s the sheer amount of garbage data we’ve accumulated over 5 years. I’m currently sitting here staring at like 400 "test" entries and duplicate leads that don't have emails attached. It’s a mess. My boss wants it all live by next week, but I’m realizing we didn't really have a plan for the actual migration part. Does anyone have a specific workflow for cleaning this stuff up before the import? Or should I just dump it in and try to de-dupe it inside Dynamics? I feel like I'm drowning in rows right now and the "find and replace" feature in Excel is about to give up on me. Update: Thanks for the suggestions. I ended up spending most of the night just filtering by 'last modified' date and nuking anything older than 2022. I actually reached out to the guys at [Infinity Group”

“Currently using HubSpot for pipeline management but honestly feeling like we're drowning in manual data entry. Our SDRs spend way too much time updating contact info and enriching leads instead of actually selling. We have about 12 reps and everyone's complaining about stale data killing our connect rates. Been looking at Prospeo for the contact data side since they apparently refresh their database weekly vs the monthly updates we get now. Also looked at UpLead briefly but Prospeo's mobile number coverage seems way better from what I've read. Our pipeline tool itself is fine but the data going INTO it is the real bottleneck. My manager's been on my case about connect rates dropping and I keep telling him it's a data quality problem, not a dialing problem. Anyone else solve this with better lead enrichment? What does your workflow look like for keeping sales pipeline data fresh? Pretty close to going with Prospeo because of the weekly refresh cycle and the fact they only charge for v”
